Get a copy of a deed or mortgage

Deeds and Mortgages are recorded in the Butler County Recorder's Office and are available to the public for inspection and copies during business hours.

You can request a copy by either coming into our office or sending us a written request.  We will need the property address and/or owner(s) name to locate the document.

The fee to obtain a copy if you come into our office will be 15¢ per image if the document has been recorded since 1987, $2.00 per page if the document was recorded prior to 1987.

If you choose to mail us a copy request we will need the following:

  • Property Address and/or Owner(s) Name
  • Correct Fee ($2.00 per page)
  • Self Addressed Stamped Envelope

Search property information

Our online search is available to the public.  The images found on the Butler County Recorder's website are watermarked to external users.  Documents received for filing with the "UNOFFICIAL" watermark (ie. legal descriptions) will not be accepted for recording.  Documents are available without the watermark inside the Butler County Recorder's Office during normal business hours.

Record a document

Documents that pertain to real estate may be recorded in our office.

When presenting a document it must include the following information:

  • Be signed, dated and notarized
  • Contain a legal description of the real property
  • State who the document was prepared by
  • The entire document must be legible, including signatures, in order for us to reproduce it as needed
    • If we cannot read the signatures, you will need to print the name under the signature
  • Be in English or accompanied by an English translation

Please bring a Self Addressed Stamped Envelope so that we may return the original to you.  We will hold the originals for approximately 5 working days, or until our microfilm has been proofed.

The correct fee must be submitted at the time of recording.  Our office only accepts checks and cash.  No Credit Cards.  Please make checks payable to the Butler County Recorder.

Pay my taxes

Property Taxes are collected by the Butler County Treasurer.  The Treasurer's Office is located at 315 High Street in Hamilton on the 10th floor.

Obtain a birth or death certificate

The Butler County Health Department maintains and issues birth certificates for Ohio from 1909 to present.

The office is located at:

Death Certificates for Butler County are also available, except for deaths which occur in the cities of Hamilton or Middletown.

Obtain a copy of my DD214

Veterans are encouraged to have their military discharge papers (DD214) recorded in the county recorder's office.

There is no charge to record or obtain a copy of a military discharge.

Military discharges have restricted public access.  ORC 317.24 allows authorized parties to request copies of recorded military discharges.  Proper identification MUST be presented to view and receive copies.

Authorized parties include:

  • The Veteran who is the subject of the Discharge
  • A County Veterans Service Officer
  • An individual with Power of Attorney for the Veteran
  • An Executor or Administrator of the Veteran's Estate
  • A funeral home director

Copies of DD214's must be requested in-person at the Butler County Recorder's Office by an authorized individual.

If you have lost your DD214 and have never recorded it, the Butler County Veterans Service Commission can direct you in obtaining a copy.  Offices are located in Hamilton and Middletown with certified Veteran Service Officers accredited with the Department of Veterans Affairs (VA) available to assist with receiving your DD214, Service Military and Medical Records.  Please call 513-887-3600 for assistance.

Get a map of my property

The Butler County Recorder records plats or drawings of subdivided land.  These plats typically will show lot dimensions, easements and building set back lines that were in existance at the time the lots were created.

The Butler County Engineer creates and maintains tax maps for all parcels in the county, as well as records surveys.  You can access these maps and surveys by visiting the Butler County Engineer's Office Website.

Search for Sheriff Sales

The Butler County Recorder is the last office to see any paperwork associated with a Sheriff's Sale.  At the conclusion of the foreclosure, the Butler County Sheriff's Office submits the Sheriff's Deed to the Recorder for recording.

The Butler County Sheriff's Office maintains a searchable listing of properties that will be going up for sale. 

To view the actual foreclosure suit, you will need to obtain the Case Number associated with the foreclosure and search the Clerk of Courts Website to view the docket.

Marriage License records for dates between 1803 thru 2010 are located at the Butler County Records Center and Archives located at:
